Why file changes can take so long to appear in Microsoft 365
Many organizations use Microsoft 365 storage including OneDrive, SharePoint, and Teams for collaboration. When using the OneDrive sync client, users can experience significant delays when working with files in shared areas.
Changes made by one user are not always visible to others straight away. In some cases, it can take minutes or even hours before updates appear.
Cloud Drive Mapper (CDM) removes the dependency on sync and provides a much more responsive way to access shared files.
The challenge with sync-based collaboration
The OneDrive sync client works by building an offline view of the user’s file structure. This is a highly intensive process, because it means the OneDrive client isn’t just keeping relevant folders the user needs up-to-date but rather all the folders the user has access to. This is such an intensive process in fact that Microsoft imposes a soft limit of 300,000 items that each user can access at a time, which poses its own problems and limitations.
Delayed updates
This offline sync model means that the OneDrive sync client is always somewhat (varying from a slightly to extremely) behind the reality of the storage. The further behind ‘reality’ a user is, the more opportunities there are for them to run into problems – like file conflicts and duplications.
Inconsistent visibility
After a file is uploaded, other users must wait for their own sync client to detect and reflect the updated drive view. This can result in different users seeing different versions of the same file simultaneously, and mean that some users can see files that other users cannot see causing significant confusion and frustration.
Impact on collaboration
These delays can have a significant impact on user productivity, slowing down teams and causing negative impacts to their organization.
Solving sync delays with Cloud Drive Mapper
CDM provides direct access to Microsoft 365 storage without relying on sync.
Changes are visible when you access them
When a user opens a folder, CDM retrieves the latest version of files from Microsoft 365. Changes made by others are visible almost immediately when accessed.
No dependency on sync cycles
Files are not queued for upload or download. This removes delays caused by background sync processes.
A more consistent experience
All users access the same source of truth in CDM from Microsoft 365. This removes the issue of different users seeing different versions of the same file.
A better way to collaborate in Microsoft 365
The OneDrive sync client works well for individual productivity, but it can introduce delays in shared environments.
Cloud Drive Mapper offers a simpler, more responsive approach, enabling users to access the latest versions of their files when needed.
